The information on this page is designed to help guide Course and Course Section Managers on the successful creation and management of their course and sections.
The Office of the University Registrar (OUR) offers in-depth step by step guides on course and section management.
If there are policies and processes specific to one school consult with their Units for additional guidance.
OUR reviews all course changes and published course section changes to ensure that they fall within university guidelines and policies and to ensure that those changes will not negatively impact the Workday system and/or student enrollments. While OUR reviews all aspects of a course or course section, we prioritize areas such as:
Course Numbering | OUR Pooled Classrooms |
EMS Tags | Projected Enrollment |
Evaluation Tags | Published Instructor Roles |
Grading Bases | Section Capacities |
Instructional Format | Section Listing Matching the Course Listing |
Meeting Patterns |
Course sections that fall outside the academic period should be adjusted so that they fit within the academic period. Visit Workday Academic Period Start and End Dates for those dates.
Course section date control edit requests should be done by utilizing the Course Section Date Controls Override found on the Request a Workday Student Bulk Data Load of the Workday website.
Workday Course Delivery Modes and Instruction Types are outlined below:
Workday Course Section Delivery Modes
In-person | Online | Hybrid |
Instruction Types
Clinical | Internship | Seminar |
Discussion | Laboratory | Service Learning |
Experiential | Lecture | Thesis |
Independent Study | Research |
For additional information on these areas please click on Courses: Delivery Mode/Instruction Type Guide
Everything should be done in preliminary status. Instructor changes, enrollment capacities, room changes (non-OUR Pooled) are the only areas that can be changed after publishing, that will not have a negative impact on the course.
Course Tags are not used for searchability purposes. They are used to track academic requirements and back-end processes.
For courses and sections, eligibility rules can be used for pre-requisites and reserved capacity. Eligibility Rules must be applied to sections prior to publishing. Review the Pre-requisite Eligibility Rules Cheat Sheet for more information.
OUR Pooled classrooms are handled within the OUR. Schools need to select “EMS Domain: OUR Pooled” at the section level, if they need an OUR pooled classroom and their meeting time fits within the approved standard meeting days/times. For more information on OUR classroom policies and procedures as well as requesting a non-standard meeting time or an Active Learning Classroom (ALC), visit Academic & Classroom Scheduling.
OUR is only able to propagate course changes to sections if the section is in preliminary status. Once a section is published, the schools will need to manually update the section so that the change at the course level is reflected on the section. The areas that propagate down to preliminary course sections are:
Title | Educational Taxonomy Codes | Partial Credit Hours |
Abbreviated Title | Eligibility Rules | Private Notes |
Allowed Grading Basis | Graded Anonymously | Public Notes |
CIP Code | Learning Outcomes | Projected Enrollment |
Competencies | Manually Manage Waitlist Enrollment | Section Capacity |
Contact Hours | Maximum Credit Hours | Unlimited Capacity |
Description | Minimum Credit Hours | Waitlist Capacity |
Waitlist capacity should not exceed 1.25x the section capacity.
Reserved capacity should be used to identify a subset of the student population that needs to take a given course section based on their program of study. These students can have priority seating by using reserved capacity.
